Account Payable Specialist

SUMMARY OF POSITION
The Diocese of Rockville Centre is seeking an Accounts Payable Specialist. This full-time position is 35 Hours per Week: Monday - Friday 8:30 a.m. to 4:30 p.m. Individual will review and verify invoices; check requests and enter upload invoices into system.

DUTIES AND RESPONSIBILITIES
Responsibilities include but not limited to:
* Review and verify invoices/check requests; audit departmental accounting coding
* Enter and upload invoices into system and create A/P batches for approval of payment
* Audit and process expense reports
* Prepare and process electronic transfers/vendor payments
* Reconcile accounts payable transactions
* Prepare account analyses as requested
* Maintain vendor files including keeping up-to-date W9s
* Produce monthly reports for Finance Team
* Provide supporting documentation for multiple annual audits

POSITION REQUIRMENTS

  • 2+ years accounts payable or general accounting experience with strong knowledge of accounts
  • payable department functions
  • Associates or Bachelors degree
  • Familiarity with general accounting and internal control procedures; experience with PosPay is a plus
  • Knowledge of relevant accounting software; experience with MIP Fund Accounting/Abila software is a plus

Bookkeeper - Accounts Receivable/General Ledger

Summary of Position:

The Catholic Cemeteries of the Diocese of Rockville Centre - Holy Rood Cemetery located in Westbury is seeking a full-time Bookkeeper. This full-time position is 35 Hours per Week: Monday - Friday 9:00 a.m. to 5:00 p.m. Individual will maintain Cash Receipts records and General Ledger bookkeeper. Evening work required periodically, particularly during closing of fiscal year.

Duties and Responsibilities:

• Reconcile checking account for Diocesan Cemeteries weekly and monthly
• General ledger entries and preparation of monthly schedules required
• Maintain records of daily cash receipts and prepare for entry into general ledger

Staff Accountant

Summary of Position:

The Catholic Cemeteries of the Diocese of Rockville Centre - Holy Rood Cemetery located in Westbury is seeking a full-time Staff Accountant. This full-time position is 35 Hours per Week: Monday - Friday 9:00 a.m. to 5:00 p.m. Individual will report to Manager of Financial Services and will work with Payroll / Investment Manager and Accounting Department personnel. Responsible for activities within the Accounting Department related to the completion of monthly journal entries, assisting with financial statement preparation, analysis and monthly accounting reconciliations. Assist with budget preparation, reporting and special projects. Assist with all fiscal closes and various schedules applicable and any appropriate responsibilities within the accounting department. Evening work required periodically, particularly during closing of fiscal year.

Internal Auditor

SUMMARY OF POSITION

The Internal Auditor for the Diocese of Rockville Centre will serve as a liaison between the outsourced internal audit function and the Audit Committee of the Finance Council. The Internal Auditor will be responsible for updating the Diocesan wide risk assessment, developing the internal audit program, coordinating and overseeing all outsourced internal audits and other related third party engagements as requested as well as monitoring and reporting on implementation of processes and procedures to address key risks identified in annual risk assessments. The Internal Auditor assures that work is performed in accordance with Professional Standards and within scheduled budgets and timeframes.

DUTIES AND RESPONSIBILITIES

Responsibilities include but not limited to:

  • Collaborate with Audit Committee and outsourced internal audit
  • Facilitate and communicate requests for information between the outsourced internal auditors and departments; serve as the point of contact regarding the overall process
  • Assist in the development of audit responses; review externally prepared draft reports for accuracy and completeness; recommend corrections as needed
  • Provide audit status updates to audit committee, finance council and senior management as needed
  • Assist management with the implementation of internal control and process improvements identified by outsourced internal auditor.
  • Maintain open communication with audit committee and senior management.

POSITION REQUIRMENTS

  • Bachelors degree, preferably in accounting, finance, business administration or business management
  • At least six years of auditing and/or risk management experience
  • Ability to identify business risks
  • Strong information technology skills, using MS Word, Excel, and Powerpoint
  • Excellent written and verbal communication skills
  • Sound independent judgment
  • Ability to work well with staff at all levels of an organization

Religious Formation, Part-Time 

St. Rosalie Roman Catholic Church in Hampton Bays, NY seeks a part-time office assistant for the Religious Formation Office.
Requirements:

  • A confirmed Catholic person who regularly participates in Mass, is willing to do what is needed to increase knowledge of Catholic religion, increase her/his faith formation, can cooperate with those in authority, must be flexible and is friendly and welcoming.
  • Part time hours include: Monday (alternate weeks, 10:00 am-6:15 pm or 10:00 am- 2:30 pm); Tuesday (10:00 am-2:30 pm); Wednesday (some daytime hours); Thursday (daytime as needed); Sunday (alternate weeks, 9:30 am-12:45 pm during September to May, excluding Holidays.
  • Be available to work extra days/hours during the times of First Holy Communion and Confirmation.
  • Must be computer literate. Knowledge of ParishSoft programs and being bilingual (English/Spanish) are helpful.

Responsibilities:

  • Answer and return calls and messages.
  • Registration intake and computer input.
  • Collect and record fees and be accountable for information given to the accountant.
  • Maintain session charts, cathechist folders, attendance records and calendar.
  • Order necessary supplies.
  • Set up and breakdown rooms for sessions with needed supplies. Move table and chairs as needed.
  • Be welcoming and become familiar with children and parents/ guardians.
  • Proofread paperwork/ notices.
  • Be responsible to lock and unlock doors at appropriate times.

Payroll Specialist

The Diocese of Rockville Centre is seeking a Full-Time Payroll Specialist. Will function independently under the direction of the Payroll Manager. This individual will ensure accurate payroll processing for Parish, School, Diocesan Entities, ongoing maintenance of employee information, including hiring, terminating, and updating of employee HR records.

Duties & Responsibilities:
• Gathering information on hours worked for each employee and review for errors.
• Reconcile payroll prior to transmission and validate confirmed reports
• Process correct garnishment calculations and compliance, 403(b) pretax deductions
• Resolve any discrepancies surrounding payroll issues
• Process direct deposits, adjustments, special pay, and vacation pay

On - Call Sacristan 

St. Joseph, RCC Church in Babylon is looking for an energetic, weekday sacristan to cover setting up and serving at funerals from 9:30am to 1:30pm when needed. A monthly on-call schedule will be maintained.

RESPONSIBILITIES

• Adult altar server at funerals when necessary
• Remove any leftover programs from pews.
• Make sure heat/air is on in the church and vestibules.
• Turn on light and sound system
• Place key in main church tabernacle
• Check altar candle and Sanctuary candles, replace if necessary
• Check tabernacle to determine how many consecrated hosts are present
• Light candles, set up credence table
• After mass, secure all vessels and clean up church.

POSITION REQUIREMENTS Must be self motivated and willing to serve. Previous experience working in a parish environment is preferred. Must have good interpersonal skills and be able to engage and collaborate with staff members, parishioners, and clergy.

Director of Advancement

Summary of Position:
St. John the Baptist Diocesan High School, located in West Islip is seeking a full-time Director of Advancement who will help lead fundraising and development efforts to support and ensure the school's future growth. Reporting directly to and working closely with the Principal, the Director will create and work as part of a collegial team to implement development activities, to include the annual fund; major gift research, cultivation and solicitation; alumni activities, special events, and stewardship. The Director will identify, develop, and implement plans and programs that increase donor support and alumni engagement with the school. Duties:

The parish of St. Barnabas the Apostle Roman Catholic Church, Bellmore, NY seeks a part-time Parish Director of Faith Formation and Parish Youth Minister.

Areas of Responsibility:

  • Conduct less formal activities and/or experiences which supplement the formal religious education program for junior-high aged students.
  • Develop and coordinate a program which will provide social, educational, spiritual, and service opportunities for high-school aged students.
  • Recognize that effective youth ministry involves “Family Ministry” and should find creative methods of incorporating the young people of the parish and their families into all aspects and programs of the parish.
